Users are responsible and will be charged actual costs for any damages caused.

Users are expected to clean the facility after the meeting or event

The deposit is refundable based on whether the facility is left clean and undamaged.

The City reserves the right to revoke a reservation without cause.

You will be held responsible for the requirements in the agreement below, 

regardless whether you actually read them or not.


Bluffdale City Community Room Rental Agreement

General 

  • It is best to call and see if the time you want is actually available.  801-254-2200
  • The renter of the facility shall be at least 18 years of age. 
  • The City has two rooms available for rent.   The Community Room located in City Hall and a smaller Community Room located in the Fire Station in Independence. Rental of the room in the Fire Station will in no way presume any access to the Fire Station main facilities or any tours of the station unless prior arrangements are made with the Fire Captain.
  • Ordinances and rulings of Bluffdale City Corporation (hereafter referred to as the City) as to the occupancy capacity, use, and other safety factors shall be observed at all times.
  • The facility shall not be used for sales, or promotional purposes, or for monetary or pecuniary gain of any form or nature whatsoever. 
  • Any sound system, video, music, etc., shall be kept at a low volume so as not to disturb others using the facility and/or neighboring residents. This applies especially during business hours.
  • Renter shall be present during the period of the reservation from set-up through clean-up.
  • Failure to comply with any of the terms of the Rental Agreement shall cause the individual and/or group to forfeit the privilege to reserve the facility for one year. 
  • The renter shall ensure that any individuals using the facility during the rental are apprised of and abide by the terms and conditions set forth herein

Rental Fees 

Rental fees for the facility shall be assessed as specified in the Bluffdale City Consolidated Fee Schedule. 

  • No fees shall be pro-rated for a portion of an hour. 

Security Deposit 

  • The purpose of the security deposit is to ensure proper clean-up and care of the facility. If the facility is left dirty and/or damaged by the renter, the City shall retain part or all of the deposit. 
  • The Security deposit and rental fees must be paid through a clerk at City Hall. 
  • If costs to clean and/or repair the facility exceeds the amount of the deposit, the renter shall be responsible for additional costs. If the renter fails to pay the additional costs as requested by Bluffdale City, the renter shall be responsible for all collection costs and/or attorney’s fees. 
  • It is the responsibility of the Renter, after the event is over, to contact Bluffdale City to request their security deposit back. 

Cancellations and Refunds 

  • If occasion arises with the City requiring cancellation of the reservation, all monies will be refunded.  City events will always take priority. 
  • If you need to cancel your reservation, you must call City Hall at least three (3) days prior to the reservation.  The rental fee and deposit will be refunded.   The Admin Fee is not refundable.   Call 801-254-2200. 

General Prohibitions 

  • No alcohol or smoking in any form are permitted on City property. Any violation will result in forfeit of deposit and renter will not be allowed to return to the facility. 
  • No candles with flames.  Battery operated candles are allowed.
  • No gambling, fighting, quarrelling or us of profane language permitted.
  • No soliciting or sale of merchandise, raffle tickets or any services.
  • No commercial activities are permitted.
  • Use of the kitchen by the renter shall be for food serving only. Incidental use of the appliances shall be permitted only to maintain temperature of foods and beverages to be served during the event. 
  • The renter shall be responsible to provide dishes, cups, glasses, eating and serving utensils, dish soap, dish cloths, kitchen and table linens, as they are not provided by the City. 
  • Any paper goods, water or other supplies in the kitchen are for City use only.

Set-up and Clean-up 

  • Equipment or decorations shall be used in such a manner as to prevent damage of any kind to the facility and its furnishings. 
  • No decorations will be permitted which are taped, tacked, stapled, nailed, or otherwise fastened to the walls, ceilings, doors, or floors of the facility. 
  • If paper is used to cover tables, the renter shall be responsible to remove all tape from the tables. No covering may be tacked, stapled, nailed, or fastened in any manner which will damage the tables. 
  • Rental of the facility include the use of tables and chairs as noted in the rental agreement. 
  • Facilities include an available sound system and television overhead projector.  If equipment is needed, schedule training for the equipment at the time of reservation to ensure availability of personnel.  Training will take place at the time you come to pick up the access card.  Equipment will not be available to anyone who has not received this training.
  • Renter must pay for all time spent in the building – this includes set up and clean up time. 
  • Renter is responsible for set-up and clean-up for the event. This shall include, but is not limited to: 
  1. Cleaning floors 
  2. Emptying trash to appropriate dumpsters 
  3. Wiping off tables and chairs, kitchen counters, sinks, etc. Renter is responsible to provide supplies listed above.
  • The City shall provide the following cleaning equipment and supplies: 
  1. Vacuum cleaner 
  2. Broom and dustpan 
  3. Some cleaning supplies
  4. Trash bags 
  • Failure on the part of the Renter to properly clean the facility after use will result in a forfeiture of the cleaning deposit.

Community Room Reservation Request
